Sheet 03 — How we work

How it works with us, from your first invoice to your last tax return.

No surprises, no fine print: this is exactly the story we also tell on the phone to everyone who wants to become a client.

How it works, in five steps

  1. 01

    Intro call

A no-obligation conversation, by phone or in person by appointment. We find out together whether it clicks and what you need.

  2. 02

    Switching and setup

We arrange the handover with your old firm and set up your SnelStart environment together. Just starting out? Then we dive straight into the setup.

  3. 03

    Your books keep running

You upload your receipts and invoices, we process and check them, so your numbers stay up to date and you always know where you stand.

  4. 04

    Returns with your approval

Every tax return comes to you as a draft first. We only file after your explicit approval. So you stay in control of what goes to the Dutch Tax Administration.

  5. 05

    Thinking along, all year round

We think along with you throughout the year, from provisional assessments to investments. Want to spar? Calling or messaging is always an option.

That is the short version. Below is the full story, worked out step by step.

A — Bookkeeping

First, we get the foundation right.

A·1

Just started?

You've just started as an entrepreneur and want to double-check where to begin. First of all: congratulations on founding your business! We'll help you with all the administrative and tax obligations.

A·2

We work with SnelStart

You don't have to create an account yourself. We do that together during the intake call.

Been running your business for a while, on different software? Then check with us what makes sense. We have experience with most major packages, such as Exact and the former Unit4, but also with smaller ones like Moneybird. Switching is usually no problem. And is keeping your current package important to you? Then we're happy to talk it through.

A·3

Sales invoices

Once your SnelStart account is set up, it's time for your first sales invoice. You create and send it via the SnelStart website or the app. We'll show you how it works.

A·4

Purchase invoices

Meanwhile, you're also incurring costs. More than you think! See Cost structure under Tips & tricks. The PDFs you receive by e-mail are easily uploaded via the SnelStart website under Purchases. That way you never have to print anything again. And do you get a receipt in a shop? Take a photo right away with the SnelStart app and throw it out. Easy. Just make sure to always double-check that the photo is sharp.

A·5

Linking your bank account

During the intake call we link your business bank accounts to SnelStart. Note: we can only link business accounts, not private accounts you use for business. Also check whether SnelStart supports your bank (see snelstart.nl/bankkoppelingen).

With the link active, incoming payments are automatically matched against your outstanding invoices, so you always have an up-to-date debtor overview. The same goes for outgoing payments and the receipts and invoices you've uploaded.

B — Tax returns

You stay in control. Always.

Pick your legal form and see exactly which returns apply to you.

Default view: sole trader / VOF

B·1

VAT (btw/omzetbelasting): for everyone

In the first week of the new quarter, you make sure your administration is up to date: all receipts uploaded in the Purchases portal. We then process your administration and prepare the draft VAT return. We e-mail that draft to you, so you can go through it. Do you approve? Then you send us the explicit request to file the return based on the draft we sent you. As soon as we receive your approval, we file it for you. That way you keep a grip on your own taxes and stay in control of what goes to the Dutch Tax Administration.

B·2

Payroll taxes: if you have staff

If you employ staff, payroll taxes come into play. We make sure a payroll tax number is requested for you. You tell us what your employee will earn, whether holiday pay is paid out, travel allowance and so on.

Payslips are produced every month and the payroll tax return is taken care of. You receive copies of both by e-mail. You also get two payment files each month to import into your bank: one for the salaries, one for the payroll taxes. The right amounts then go to the right accounts, on the day you specify. So you no longer have to think about it and everything is paid neatly on time.

B·2

Payroll taxes: if you have staff or are on the payroll yourself

If you're on your own BV's payroll or you employ staff, payroll taxes come into play. We make sure a payroll tax number is requested for you. You tell us what you or your employee will earn, whether holiday pay is paid out, travel allowance and so on.

B·3

Income tax / business return: sole traders, VOFs and similar

Once we've filed the four VAT returns, we've reached the end of the year. You're scheduled in for closing the books and preparing the draft annual report. We also ask you for the information and documents needed for your income tax return (see our Income tax checklist under Tips & tricks).

As soon as we have everything, we prepare the income tax/business return. You receive the drafts by e-mail so you can review everything at your own pace and we schedule a call right away to discuss them: both the draft annual report of your business and the draft income tax/business return. Do you approve? Then you e-mail us the explicit request to file based on the discussed drafts and we file them for you. With that, you've met all your private and business tax obligations.

B·3

Corporate income tax (VPB): BVs and similar only

Once we've filed the four VAT returns, we've reached the end of the year. You're scheduled in for closing the books and preparing the draft annual report. At the same time we prepare a draft of the corporate income tax return.

We discuss both drafts with you and after your approval we file them. With that, you've met all your business tax obligations. All that remains is your personal income tax.

B·4

Income tax after the VPB

Once your BV's annual report is done, we get to work on your personal income tax. We ask you for the necessary information and documents (see our Income tax checklist under Tips & tricks).

As soon as we have them, we prepare the return. You receive the draft by e-mail and we schedule a call right away to discuss the documents. We often do this in one go, together with the draft annual report and the draft corporate income tax return.

Do you approve? Then you explicitly request us by e-mail to file the returns based on the discussed drafts and we submit them for you. With that, you've met your private tax obligations as well.

One fixed rule

One fixed rule for all your tax returns

Whether it's VAT, corporate income tax or income tax: we only file after you explicitly request us by e-mail to file based on the drafts we sent or discussed with you. It sounds formal, but it's your safeguard: nothing ever goes to the Dutch Tax Administration without you knowing exactly what's in it.

Only the monthly payroll tax returns fall outside this rule. Those are taken care of automatically based on the agreements you've made with us.

C — Annual planning

When can you expect what?

Keep in mind that we file the first tax returns of the new year at the end of May / beginning of June at the earliest and that in February/March of the following year we're still working on the last ones.

D·1

Filing extension

Because we need work all year round, we can't complete every return before the regular deadlines (income tax 1 May, corporate income tax 1 June). The Dutch Tax Administration has given us permission to apply for an extension, giving us an additional year to file our clients' returns. And we make use of it.

Would you rather have your return filed as soon as possible or prefer to wait as long as you can? Let us know and we'll take it into account when creating the annual planning.

Please note: always make sure you have an appropriate provisional assessment (voorlopige aanslag) in place, to avoid unnecessary tax interest. See also Tax interest under Tips & tricks.

D·2

You are and remain responsible yourself

Even though you pay us for our services and may assume we do everything right, it's important to keep paying attention yourself. First: fortunately we've never had to deal with serious errors, but we're only human. You know your situation best. If you see something you're unsure about, tell us right away. We'll explain it or correct it well in time.

Second: under Dutch law, you as the owner of the business are responsible for, among other things, the finances and the taxes that flow from them. We are as transparent as possible and explain anything you have questions about, so you stay in control of your own administration, annual report and tax returns.
